Step 4: How to add tasks and milestones

Top Tips

  • Any new tasks and milestones will always be inserted at the bottom of the existing plan. You can then re-order the plan using the ‘Sort’ option whilst in the Scheduling mode. See Step 5: How to amend the sort order on the Gantt for more information.
  • Use the Indent and Outdent buttons on the Gantt toolbar to organise tasks and milestones into groups. Note: If a task or milestone has a dependency, these options are only available in Scheduling Mode. This ensures changes can be reviewed, validated, and if needed, undone before being applied to the project. See What is Scheduling Mode on the Gantt? 
 

Add tasks and milestones

1.Click on ‘Add Task’ or ‘Add Milestone’ in the top bar on the Gantt.

2.To the right of an existing task or milestone, click on the downward arrow next to the ‘Edit’ button. Select ‘Add’ and then ‘Task’ or ‘Milestone’. Using this route will insert the new item underneath the existing task or milestone, creating a hierarchy group. 

3. Click into the empty cell at the bottom of your existing plan and begin entering the details of your new task or milestone. Use the Tab key or click into each column to enter the start date, end date, and percentage complete. Use the duration field to extend or shorten the task end date as required.

Create a recurring task or milestone

If you have a task or milestone that will repeat daily, weekly, monthly, or annually, you can create this as a recurring event in the Gantt.

To do this, locate the task or milestone you want to recur and to the right of the ‘Edit’ button, click on the dropdown arrow and select ‘Recur’.

A new pop-up form will appear within which you can apply the following rules:

  • Frequency - Select Daily, Weekly, Monthly, or Yearly.
  • Repeat Every - Enter a figure for the number of times you would like to repeat the event. 
  • Repeat on - Select the day of the week, day of the month, or day and month of the year. 
  • End - Select the number of occurrences or a specific date that you would like the event to stop. Note: The minimum for the event to repeat is 2. 

Advice

It is not possible to add a new task or milestone whilst the scheduling mode is being used by another user. When this happens, you will see the below message and will need to wait until the other user has completed their work. See What is Scheduling Mode on the Gantt? for more information on this feature. 

You can click on the padlock against a locked task or milestone to see who is currently in scheduling.

 

 

 

Edit tasks and milestones

Double-click on the task or milestone icon in the Gantt (diamond or rectangle) to open and edit the online form for that item.

The percentage complete status of a task or milestone can be updated directly on the Gantt. Hover your cursor over the item to reveal a small triangle icon. This can be dragged left to right to increase the percentage.

Note: If a task or milestone has a dependency and you are using auto-scheduling, you must be in Scheduling Mode in order to make updates. This ensures changes can be reviewed, validated, and if needed, undone before being applied to the project. There is no ‘undo’ feature outside of scheduling.
