How to request a project resource

Resource requests are dealt with at the individual project level. Any user assigned an edit project role can request resources for the project(s) that they are involved in.

From within a project, click on the Resourcing icon in the left sidebar. To add a new request, click on 'Add'.

A new form will be displayed. It is here that details can be entered regarding when the resource is needed (in months) and the preferred role/skill set. 

 

Request Overview section

  • Reason for Request - Populate with information as to why the request has been raised, this gives the Resource Manager supporting information.
  • Start Date - The start date is set as a month and enables you to select from the current month forward.
  • End Date - The end date is set as a month and enables you to select from the current month forward.
  • Job Family/Title - Select the required job family or specific role required.

 

Resource Profile Section

Click on ‘Resource Profile’ in the right-hand menu. 

For each month requested, enter the value of the work-time equivalent (WTE) that is required to complete the task. If a whole WTE is required for the month, the value should be entered as ‘1’. Anything less that a whole WTE should be entered as a decimal figure i.e. 0.5, 0.2. 

Note: The WTE value for an individual is the average number of days in a month that they are available for project related work, not their contracted hours. For example, if a full-time employee is contracted to work 20 days per month (an average 5-day week), only 17.5 of those days would be for project work and the other 2.5 would be for day-to-day admin tasks.

If you have multiple months and they all require the same amount of WTE, you can use the ‘Select All’ button to select all the months at once and then in the box next to it, enter the WTE figure required. Click ‘Update Selected Months’ to apply the figure to all.

 

Once completed, to submit the request click Actions> Submit.

Upon Actions > Submit, the resource request will move to a ‘submitted’ status and will become locked to the requester. The Resource Manager for the job family will receive a notification email containing a link to the request.
