What are the approval statuses?

Depending on which workflow you select for your site, users will see an approval status in the project banner as items are submitted and move through the chosen approval process:

  • Draft: This will be displayed whilst a project or governance report is being worked, and means that additional information can be added at any point.
  • Submitted: This will be displayed once an item has been submitted. It will be locked down and can't be edited by anyone except the Stage Administrator(s). Stage Administrators will receive a system generated email notifying them of this submission. 

Remember

Once an item has been submitted, the Stage Administrator(s) will be able to review and select to return with comments or submit for approval.

 
  • Draft (Return with comments): If an item is returned to the Author with feedback it is set back to Draft. The Author will receive a system generated email and be able to edit and re-submit the item for approval.
  • Awaiting Approval:  This will be displayed once an item has been submitted to the Approver(s). The Approvers will receive a system generated email and will be required to review the submitted item and provide their response – Yes or No. 
  • Approvals Completed:  This will be displayed when all Approvers have responded - Yes or No. The Stage Administrator(s) will receive a system generated email and will able to decide what happens next in the approval process.

Remember

Once approvals are completed, the Stage Administrators will be able to either return with comments, approve or reject.

 
  • Rejected: The rejected item is locked down and can no longer go any further in the process.
  • Approved: An approved project will move into the next stage of the lifecycle. Approved governance reports will display as ‘Approved’ against the project and any amended/new data in them will be copied back to the parent project. An approved item cannot be edited or deleted.

These approval statuses will also be visible on both the project list view for each stage, and the governance report list.
