Rather than deleting a record within a project, for example deleting a completed risk or issue, you can instead archive the record. The process of archiving removes the data from view but it can still be accessed and if needed, unarchived.
How to archive a record
You can archive a single record or multiple records at the same time. To archive a single record, locate the item in the project table and click on the downward arrow next to Add and select Archive.
To archive multiple records at the same time, select the records you wish to archive by ticking the boxes on the left of the project table (items will be highlighted in blue), and then click on the downward arrow next to Add and select Archive.
How to view archived records
To view any archived data in a project table, click on the downward arrow next to Add and Select Show Archived. Any archived items will be highlighted in pink.
How to unarchive records
You can unarchive a single record or multiple records at the same time.
To unarchive a single record, locate the item in the project table and click on the downward arrow > Unarchive.
To unarchive multiple records at the same time, select the records you wish to unarchive by ticking the boxes on the left of the project table, and then click on the downward arrow next to Add and select Selected Items > Unarchive.
Top Tip
- You can't undo the deletion of a record within a project so if in doubt, always archive it.
- You can also archive an entire project by selecting the ‘Archive’ option within the top-level Actions Menu.
