Step 2.2: Selecting the right field type

When it comes to configuring your stages and governance reports, there are a number of different field types to select from. The field type you select during the build process will determine how the user can enter data into the system and how it can then be used in reporting. The main field types are explained below. 

Fixed Length Text: These fields have a pre-defined character limit (up to 500 characters) which will be displayed to the user on the right-hand side of the text box. They support letters, numbers and other characters.

Free Text:  These fields have an unlimited* character limit and present to the user in a separate pop-up on screen. This pop-up contains basic formatting options such as making text bold or italic, inserting bullets or tables etc. Users can also add a link to a separate document or website using the chain icon.

*Custom character limits can be applied to this field type during the configuration process.

Lookup: These are dropdown fields where the answers are pre-defined by the Verto Administrator and only a single selection can be made by the user.

Multi-Select: These are also dropdown fields where the answers are pre-defined by the Verto Administrator. However, unlike a lookup, the multi-select allows for the selection of one or more options by the user.

Date:  When clicked on, these fields open into a calendar. To change the month users can either use the scroll arrows, or click directly on the “Month:Year” to switch to a 12-month view. Click again to scroll through multiple years. The date can be reset at any point by clicking on the ‘X’. 

Numeric: These fields are for entering numbers/figures only.

 

User Multi-Select: These fields are used to search for and add individuals to projects, workspaces or specific areas such as Risk Owner, Issue Actionee etc. The person being searched for must exist in the Verto database. 

One-To-Many (Project Tables): A one-to-many table contains a subset of fields which can be accessed by the user via clicking on Actions > Add. Unlimited entries can be added to a one-to-many allowing the user to create project level ‘logs’ such as Risks, Issues, Tasks etc.

Read Only: These fields are system set ‘locked down’ fields which are linked to other editable fields in the system i.e. Previous Project Status and current Overall Status. This field type is most commonly found in governance reports where it is used to support trend reporting.
